Transition Tips

This section will include helpful tips and tricks to ensure a smooth transition to new leadership within your student organization.

CSI & KSU Engage Updates
  • Please email the Center for Student Involvement csi@kent.edu when changes in leadership occur, including after registration. Please make sure the message includes the outgoing student leader, the incoming student leader, and the current advisor for the organization.   
  • Please ensure that KSU Engage is continually updated with the current information on officers and members of the organization. For assistance in making updates please use the below links:

Event Schedulers & Event Information
  • Please email the University Events & Conference Services Office uecs@kent.edu when changes in leadership occur, including after registration. Please make sure the message includes the outgoing student leader, the incoming student leader, and the new scheduler for your organization.  
  • It is helpful to keep records of major events held by your organization to have instructions and tips for the next line of leaders that will be hosting the same or similar events. 
  • Please ensure that all past invoices are paid so that incoming student leaders are not tied up and unable to schedule meetings or events for the organization.  
Documentation
  • Student Organization Handbook: Please review the Student Organization Handbook (PDF) to ensure that your organization is following all proper policies and procedures. 
  • Organization Constitution: Please ensure that you pass your organization’s constitution onto the next leaders, to ensure that they can make the proper adjustments to the document. Sample Constitution   
  • Documents such as constitutions, policies and procedures, organization mission statements, leadership position descriptions, calendars, financial/budget records, previous meeting minutes, and so forth should be passed on to new leadership.​ 
  • Make a list of important people, emails, and phone numbers that would be beneficial for your new leaders to have that assisted in making your time in the organization easier.  
  • If your organization has social media accounts, shared drives, or other important accounts (e.g., Bursar's Office, Amazon) that requires usernames and passcodes; be sure these get passed on so that proper access is given.  CSI does not keep inventory of these accounts. 
  • Start these transitions as early as possible to allow for a smooth transition and allow time for the new leaders to ask questions or clarify information.
