Academic Policies

Define guidelines governing academic matters such as grading, course requirements, and academic integrity.

Audit Grade Option - No Credit Awarded
  • An audited course is one in which you do not receive a grade.
  • You are required to make full payment for an audit course.
  • An audit course is not counted for enrollment certification purposes.
  • Students wishing to take coursework on an audit basis should complete the Audit Grade Option Request Form by the published deadlines.
  • If you no longer want to take a course as an Audit, you will have to drop the section and re-add it to your schedule by published deadlines. Before you drop the section, please check to see if the section is closed. If it is, contact 330-672-6000 for assistance.
  • NOTE: If class beginning and/or ending dates are other than the regular session dates for a full term, the deadlines for processing registration transactions may be different. For these flexibly-scheduled classes, information is available by clicking on the CRN link(s) on the View or Print Course Schedule and Purchase Textbooks in the Student Category / Resources Page / Courses and Registration Section in FlashLine or by accessing the Detailed Class Search from the . Deadlines and Important Dates

Credit By Examination (CBE)

Students with demonstrable ability and knowledge in a particular subject area may earn credit in selected courses though Credit-By-Examination (CBE). Students who wish to pursue CBE must complete the CBE application to gain appropriate college and departmental permission. The appropriate academic department administers the exam, which may include the completion of additional assignments. The minimum passing standard for CBE is the equivalent of a C grade. However, no letter grade, only credit hours, are posted to the academic transcript for CBE.

Enrollment Certification

The enrollment certification definition by credit hour for loan deferments, insurance coverage or any other official certification of enrollment, is determined by the .

Pass-Fail Grade Option
  • Undergraduate students may elect to take certain courses on a pass-fail basis. The purpose of this option is to provide an opportunity for the exploration of a broader range of coursework than is normally included in specific and distributive degree requirements. Students considering this option should be aware that some institutions of higher education do not accept transfer credit taken on a pass-fail basis. In addition, most graduate and professional schools prefer that pass-fail credit be kept to a minimum.
  • Students should contact their college, school, or Regional Campus office for clarification of the pass-fail option and for application of that option to their particular program prior to selecting the pass-fail grade option. Conditions governing the acceptability of coursework that pertains to all students may be found in the Pass-Fail Policy in the .
  • The last day to select the pass-fail grading option varies by semester. Please see the appropriate Registrar Important Dates and Events by Term calendar for published deadlines. REQUESTS MUST BE SUBMITTED BY THE BEGINNING OF EACH TERM. Specific dates for each term are listed on the Registrar Important Dates link on the Registrar's website.

Student Grades

Midterm Grades:

A midterm evaluation grade is completed between the fourth and seventh week for all students in lower-division undergraduate courses (levels 00000, 10000, 20000). Midterm grades are not included as part of the students' academic transcript. Log into FlashLine and click on the Student Category / Resources Page / Grades and Transcripts Section to View Midterm Grades.

 

Final Grades:

Final grades are reported at the close of each academic term (or part of term) and become a part of the student's permanent record. You may check your current term final grades by logging into FlashLine and clicking on the Student Category / Resources Page / Grades and Transcripts Section to access the link to View Final Grades for the Current Term.

 

Faculty:

Midterm and final grades submission is done in FlashFAST. Log into FlashLine and click on the Faculty & Advisors Category / Faculty Dashboard / Grading Resources Section.

Enrollment and Registration Policies

Course Overload

Information on the Course Overload requirement is available in the Â鶹ӰԺ Catalog. The policy on Course Overload can be found under Registration in the Academic Policies section.

Evening & Weekend Classes

Many academic departments offer evening and weekend classes. Students can also get advising and other services with the academic department. Adult students may also contact Center for Adult and Veteran Services for advising and other resources at 330-672-7933, Room 181 Schwartz Center.

Evening Classes

  • Follow the regular academic calendar.
  • Access the Deadlines and Important Dates calendar to determine when classes begin.
  • Friday night classes are considered part of the weekend schedule.
  • Go to the Final Exam Schedule for the appropriate term to locate the day and time of the exam.
  • Drop/add for evening classes follows regular university drop/add schedule.  Access the Detailed Class Search from the . After locating the course, click on the "Registration Deadlines" link to determine course specific dates.  Information may also be found by clicking the CRN link(s) on View or Print Course Schedule and Purchase Textbooks in the Student Category / Resources Page / Courses and Registration Section in FlashLine.
 

Weekend Classes

  • Usually meet 12 of the 15 weeks of the semester (to be determined by the instructor), plus finals weekend, according to the following schedule: Friday 6–9 p.m.; Saturday 9 a.m.–noon, 1–4 p.m.; Sunday 1–4 p.m.  Four or Five hour credit classes and courses that require more than 3 contact hours will cause variation in these time frames. Check with your instructor during your first class meeting.

  • Access the Deadlines and Important Dates calendar to determine when weekend courses begin.
  • Go to the Final Exam Schedule for the appropriate term to determine when exams for weekend classes will be held.
Military Call-Up Guidelines and Reenrollment
  • The guidelines apply to students called involuntarily to active duty.
  • Students must submit a copy of their mobilization orders along with a Registration Exception Form - Military Call-Up form via DynamicForms.
  • If students must leave immediately they may contact The Center for Adult and Veteran Services. Their contact information can be found on their website. They must provide their name, Â鶹ӰԺ ID number or Social Security Number, reserve unit designation and location, name of unit aid and phone number, and whether or not they are enrolled in the Â鶹ӰԺ State ROTC.
  • Students who must leave abruptly will be given every consideration upon their return and their abrupt departure will not be held against them for reenrollment into the University at the same level and same academic program provided they had not been academically dismissed. Once the Veteran or U.S. Armed Forces member is able to return to classes they will be reenrolled into the same program with the same academic standing when previously enrolled. If the academic program is no longer offered, the University will work with the student to select an alternate program.
  • "Called-Up" students must exit the University and will receive "W" grades. Students should withdraw online prior to university deadlines. If they are not able to withdraw online through FlashLine, the courses will be withdrawn for them, through the registration exception form -military call-up process. They may receive a 100% refund of tuition and a prorated refund for housing and food upon receipt of a copy of their mobilization order.
  • Eligibility for Incomplete Grades is governed by the policy language in the .

University Procedures:

Students who have been called involuntarily to active duty as a member of a unit or as an individual reservist will be accorded certain procedural prerogatives provided they follow the established exit procedure and submit an official copy of their mobilization order. The student should send a copy of the Official Order to the Office of the University Registrar at RegPetition@kent.edu or the CAVS office to complete the process. The student should make every effort to contact instructors. Whether a student takes an incomplete or withdraws is a decision left to the student and the instructor of each course. In some cases, a student may be able to finish the course by making arrangements with the instructor.

In the event that a unit is immediately deployed and the established procedure cannot be followed, please contact the Center for Adult and Veteran Services, the contact information can be found on their webpage and provide the following information:

  • Name, Â鶹ӰԺ ID Number or Social Security Number
  • Reserve Unit Designation
  • Reserve Unit Permanent Location (Armory or Reserve Center including street address, city, state, zip, telephone number)
  • Enrolled in ROTC at Â鶹ӰԺ (Yes/No)

Withdrawal Procedures:

  • Students called to active duty may withdraw from all courses.
  • Students should submit a Registration Exception Form - Military Call-Up form, for any courses they wish to withdraw from. Official Military orders should be attached to the exception form.

  • Students may wish to withdraw from some but not all courses. If a student does not withdraw from all courses, they must be sure that they can complete the requirements of the registered courses.
  • Students who withdraw before the third week will have the courses expunged from their record.
  • Students who withdraw after the second week will have a W for each course placed on their record.
  • Students who withdraw from all courses will receive a 100% refund for tuition and a prorated refund for housing and food.
 

Incomplete Procedures:

Students called to active service near the end of the term may request incomplete. In anticipation of such requests, the following practices should be observed:

  • The University should follow its current policy limiting incompletes to the last three weeks of the term.
  • Students who elect incompletes are not eligible for a refund of fees.
  • Normally, students who take incompletes are required to make up the missing part of the work within one semester (not including summer sessions) for undergraduates and one calendar year for graduates. Â鶹ӰԺ will permit the incomplete to stand until a reasonable time has passes following the student's tour of active duty.
  • In cases where an incomplete is assigned, an Incomplete Mark Contract should be completed by the instructor that specifies work remaining to be completed, the percent of the grade riding on the incomplete work, and the grade earned to date.
 

Student Responsibilities:

The student should contact each instructor and determine whether it is best to withdraw, or take an incomplete and devise a plan to complete the work. If there is not time to contact each individual instructor, the student should contact the Center for Adult and Veteran Services or the Office of the University Registrar at  RegPetition@kent.edu. The student should send a copy of his/her orders to the Office of the University Registrar at RegPetition@kent.edu or contact the Center for Adult and Veteran Services for assistance.

Registration Cancellation

Students who preregister for a semester but decide not to attend must cancel their registrations using FlashFAST as early as possible and no later than published deadlines. Log into FlashLine and click on the Student Category / Resources Page / Courses and Registration Section. Then, click on the Add or Drop a Course link to access the page to drop your classes.

Registration/Schedule Adjustment
  • Only students who have been formally admitted to Â鶹ӰԺ may register for coursework and pay the appropriate fees. An official registration is a record of the students’ approved schedule of classes maintained online in the university’s student information system, Banner. Students who are not officially registered for a course by published university deadlines should not attend classes and will not receive credit or a grade for the course.
  • Students register and make schedule adjustments to courses online through FlashFAST (log onto FlashLine and click on the Student Category / Resources Page / Courses and Registration Section. Then, click on the Add or Drop a Course link.). Schedule adjustments are changes to a class schedule for students who have already enrolled in at least one course (1 credit or more) for that semester. Students must clear any registration holds before adjusting their class schedule. New freshmen and new transfer students register through the various campus advising and registration orientation programs. Access the How to Register page for further information.
  • Late Registration Fee - Students who are not officially enrolled for any coursework (i.e., neither registered nor paid fees) as of the end of the first week of classes for the fall or spring semester* will have a late registration fee assessed for any initial registration processed. A non-payment fee will be assessed for registrations not paid by the end of the second week of classes. Visit the Tuition and Fees webpage for information on students’ fees.
  • Registration deadlines and tuition credit percentages for courses may be viewed by accessing the Detailed Class Search from the . After locating the course, click on the "Registration Deadlines" link to see course-specific dates. Students can also find this information on their student schedule in FlashLine.
  • Â鶹ӰԺ reserves the right to change the time of a course if it is deemed necessary, and it reserves the right to drop any course from the Schedule of Classes if there is insufficient student demand or if resources are unavailable to offer the course.

Disclosure of Social Security Number

University Rule 3342-5-08.2 required all students who have a social security number to provide it to the University. The system-assigned student ID number will be used within the university to link all of the student's academic and financial records kept by the university.

The Family Educational Rights and Privacy Act (FERPA) is a Federal Law that protects the privacy of students education records, both financial and academic. For the student's protection, FERPA limits release of student record information without the student's explicit written consent; however it also gives the student's parent(s)/guardian(s) the right to review those records if the parent(s)/guardian(s) claim the student as a dependent on their Federal Income Tax Return.

Selective Service Statement

Pursuant to Ohio Law, House Bill 845, all Ohio resident male students between the ages of 18 and 26 not registered with Selective Service must file a statement of Selective Service registration with the Financial, Billing and Enrollment Center. If you have not already registered with Selective Service, you will be contacted regarding your non-compliant status. Failure to comply will result in the assessment of nonresident tuition fees to your account and the cancellation of all state based financial aid. If you have further questions, contact us.
